Reading, asking, then one quote

First we read your request, and if anything is unclear we write or call back with a question. Then we ask the hotel whether a room is open for your nights and at what rate, including any nightly resort, amenity or parking fee it charges every guest. From that answer we write one quote with the hotel by name, the room, the nights, the total with those fees inside, the taxes, any local charges and the hotel's own cancellation terms.

You read it and reply yes in writing, ask for a change, or let it go, and nothing is held until you say yes. After your yes we ask the hotel to hold the room in your name, and a card may be requested from you at that hotel to secure it. You drive there, check in at the hotel's desk and pay the hotel, and we stay reachable on phone days for changes before you leave.

Reply times by day of week

A request that reaches us Monday to Friday by noon Eastern is answered by 5 p.m. that day. Anything later, and anything sent over the weekend, is answered by 5 p.m. the next weekday. Wednesday is our day for letters: the phone is off, and written requests follow the same noon and 5 p.m. rule.

The form takes requests at any hour, day or night, and sending one costs nothing and holds nothing. If your check-in is within the next three days and something has to change, call on a phone day. On a Wednesday, write with "check-in this week" at the top for an answer within two hours between 9 a.m. and 5 p.m.
